ABOUT THE ROLE
The Renewal Specialist owns the full renewal coordination motion — from the point commercial alignment is confirmed to getting the signed contract back. You sit at the intersection of Customer Success, Legal, Finance, and the client, holding all parties accountable and moving every deal forward. This is not a passive coordination role. It demands assertiveness, precision, and the ability to manage senior stakeholders at global enterprise accounts.

WHAT YOU'LL DO
  • Own the master renewal tracker — every account, every stage, every deadline, updated in real time
  • Trigger the contract closure process the moment commercial terms are agreed — raise the CS intake form, validate it is complete, submit to Legal without delay
  • Be the named follow-up owner once Legal shares a draft — you chase the client, not the CSM
  • Identify where each renewal is stuck — Legal backlog, client silence, commercial dispute — and push the right lever to unblock it
  • Coordinate and schedule cross-functional calls across CS, Legal, Sales, and client teams; run the agenda, own the action items
  • Escalate stuck contracts to the CS lead with a clear summary — what's blocked, why, and what's needed to close
  • Send a weekly renewal status report: on-track, at-risk, overdue — no gaps, no surprises
HOW YOU'LL WORK
  • Client-facing: patient, clear, and relationship-first in every written and verbal touchpoint with enterprise stakeholders
  • Internally: assertive with Legal, Sales, and CS when SLAs are being missed — you escalate, you do not wait.
  • Use AI tools (ChatGPT, Claude) to draft follow-up emails, summarise contract threads, and build trackers faster
  • Maintain clean data in HubSpot/Salesforce — renewal dates, stages, and owner fields are always current
WHAT WE'RE LOOKING FOR - Experience
  • Graduate with 2–3 years in SaaS, operations, client servicing, or revenue coordination
  • Prior exposure to contract workflows, renewals, or cross-functional coordination is a strong advantage
Communication
  • Exceptional written English — you will draft emails to C-suite stakeholders at Fortune 500 clients; every word matters
  • Confident verbal communicator — able to hold a conversation with legal teams, CFOs, and procurement managers without flinching
  • Knows when to be firm and when to be diplomatic; can keep a tense renewal negotiation moving without burning the relationship
Skills & Tools
  • Strong Excel and data skills — pivot tables, tracking dashboards, SLA calculations are second nature
  • Proficient with AI tools: uses ChatGPT, Claude, or similar to work faster, not just to produce output
  • CRM-literate — HubSpot or Salesforce basics required
Mindset
  • Operates like a collections team — structured urgency, clear consequences, zero tolerance for ambiguity on deadlines
  • Comfortable with pressure and tight timelines.
  • Takes initiative: if something is blocked, you find the path forward — you do not wait for someone to tell you
